This policy explains what personal information ST. JOSEPH'S SEMINARY SHS ("the school", "we") collects through this website and the school portal, why we collect it, who we share it with, and the choices and rights you have. It applies to students, parents and guardians, applicants, staff, alumni and visitors to this website.
What we collect
- Admission applicants and their parents or guardians: the details on the application form, such as names, date of birth, contact details, previous school, examination results, documents and photos you upload, and payment records.
- Students: school records such as class, attendance, assessments and results, health and welfare notes needed to care for them, exeat and boarding records, and photos.
- Parents and guardians: names, phone numbers, email addresses and relationship to the student, so we can keep you informed.
- Staff: employment and professional details, and the information staff add to their own profiles and CVs.
- Alumni and community members: details you give when you join the alumni network, send us a testimonial or share your story.
- Website visitors: basic technical information our servers need to run the site securely, such as your IP address and browser type.
Why we use it
- To run the school: admissions, teaching, reports, welfare, boarding, fees and communication with families.
- To keep students and staff safe, and to meet our legal and regulatory duties.
- To send messages you would expect from the school, such as SMS and email notices.
- To publish news, testimonials and alumni stories, only with the permission of the person concerned.
Students and children
Most of our students are under 18. Their information is provided by the student, their parents or guardians, and the school. We do not publish a student's name or photo on this website in a testimonial or story without the agreement of the student and their parent or guardian.
Who we share it with
We do not sell personal information. We share it only where needed:
- With service providers that help us run the website and portal, such as secure cloud hosting and file storage, SMS and email providers, and payment providers such as Paystack, Flutterwave or Hubtel when you pay online.
- With examination bodies, the Ghana Education Service and other authorities when the law or our duties as a school require it.
- With anyone else only with your agreement, or where the law requires it.
How long we keep it
We keep information only as long as we need it for the reason it was collected, or as long as the law requires school records to be kept. A testimonial or alumni story stays on the website until you ask us to remove it.
Cookies and similar technology
This website uses only the cookies it needs to work: for example to keep you signed in to the portal and to protect forms against misuse. Your light or dark display choice is remembered on your own device. We do not use advertising or tracking cookies.
Some pages show content from other services. YouTube videos are shown in YouTube's privacy-enhanced mode. Maps from Google and videos from Facebook only load when you choose to load them; those services may then set their own cookies under their own privacy policies.
Keeping it safe
Access to personal information is limited to the people who need it for their work, and the portal is protected by passwords and role-based permissions. No system is completely secure, but we take reasonable steps to protect your information.
Your rights
Under Ghana's Data Protection Act, 2012 (Act 843), you can ask us:
- for a copy of the personal information we hold about you;
- to correct information that is wrong or incomplete;
- to delete information we no longer need, or to stop using it;
- to take down a testimonial, story or photo of you from this website.
Where we rely on your agreement, you can withdraw it at any time. If you are not satisfied with our response, you may complain to the Data Protection Commission of Ghana.
